To manage the roles of workspace users, you must be a workspace administrator.
Steps for changing workspace roles
-
Navigate to the desired workspace (either via the workspace widget on the dashboard or via the workspace overview under the Workspaces menu item)
-
As an administrator, you will see the Settings button at the top right of the workspace banner
-
Enter the workspace settings and go to the Participants tab
- To the right of the participant's name is the current workspace role. If there is a small down arrow next to the workspace role, this means that you can click on it and select the new role from a list
| Note: Some workspace roles cannot be changed. For example, a hub guest can only be a workspace guest. |
Perform multiple actions and change several roles at the same time
- Select all desired participants by clicking on the box to the left of their profile picture
- If you click on the box at the top left of the “Search users” field, all participants currently displayed will be selected
- Click on BULK ACTIONS at the bottom and select Change role
- Click on Apply
- Select the role that all selected users should receive and confirm with Update
The individual workspace roles have the following rights:
- Workspace administrator: Can create all tools (which are available according to the license) with the status private or public, as well as workspace discussions and can set the workspace feed. Can access the workspace administration and add and manage users there.
- Workspace member: Can create simple Innoboards, simple AI Researches and private Collections as well as participate in workspace discussions and view the workspace feed. Sees all public tools made by the workspace administrator and can join them.
- Workspace guest: Cannot create tools and cannot see public tools. Can only see tools to which they've been invited. Can see the workspace feed, but not workspace discussions.
| Note: If you are an administrator of the entire hub, you can also manage the workspace role of a user via the hub administration and user management. |
